Introduction

High-intent accounts are critical for sales teams as they indicate strong buyer signals. This playbook will guide you through identifying these accounts in Reo.Dev, syncing them to HubSpot, and automating their assignment to your sales team.

By implementing this workflow, you ensure:

  • High-intent accounts are automatically surfaced and assigned.
  • Sales teams receive relevant tasks with contextual information.
  • Timely follow-ups on engaged accounts for increased conversion rates.
  • Automation of key steps, reducing manual effort and improving efficiency.

Create Segment

Important Note:

Each company’s definition of "high intent" differs based on sales processes, CRM setup, and the data that is being captured with Reo.Dev integrations. Ensure you customize your segment accordingly.

Segment Criteria

  1. Customer Fit Score → Strong & Moderate
    • Ensures accounts align with your ICP criteria.
    • Factors considered: Location (country/region) & Employee Range.
  2. Lifecycle Stage → In Pipeline, In Market, Discovery
    • Pulls CRM data to exclude existing customers.
    • Ensures accounts are in pre-customer stages.
  3. # of Deanonymized Developers → Greater than 2
    • Ensures accounts have multiple engaged developers.
    • Deanonymized developers have a verified work email or LinkedIn profile.
  4. Annual Revenue → Selected Revenue Ranges
    • Helps refine ICP-aligned accounts.
  5. Count of Activity → Greater than 3
    • Ensures engagement is meaningful, not one-off activity.
  6. Last Activity Date → Within 30 Days
    • Focuses on recent account engagement.
  7. State → West Coast (CA, OR, WA, AK, etc.)
    • Useful for territory-based sales teams.

Customization Tip: Adjust these filters based on your unique sales process and ICP targeting strategy.

Play 1: Automate High-Intent Account Assignments in HubSpot

Leverage HubSpot workflows to automatically enroll, assign, and notify your sales team about high-intent accounts surfaced in Reo.Dev—ensuring timely outreach and maximized conversion potential.

Step 1: Sync Segment to HubSpot

  • In Reo.Dev → Segments, locate the newly created segment.
  • Click on the HubSpot icon next to the segment name and select 'Send to Hubspot'.
  • Confirm the sync in the popup window.
  • Wait 15-30 seconds for confirmation.
  • The HubSpot icon turns green once synced successfully.

🔹 Note: Large segments may take 15 minutes to 24 hours to sync in HubSpot.

Step 2: Create a HubSpot Workflow

1) Set Up the Workflow

  • Go to HubSpot → Automations → Workflows.
  • Click "Create Workflow" → Select From Scratch.
  • Choose "Company-Based Workflow" → Click Next.
  • Assign a descriptive name & description for the workflow.

2) Define Enrollment Criteria

  • Click Trigger Enrollment for Companies → Select "When criteria is met".
  • Click "Add Filter"Company Properties.
  • Search “REO: Segment Name” and select it.
  • Search & select the synced segment from the dropdown.
  • Click Save.

3) Assign Accounts Automatically

  • Click the “+” icon → Select CRM Actions.
  • Choose Rotate Record to Owner.
  • Keep default "Company Owner" property.
  • Choose Rotate Between Specific Users or Teams:
    • Option 1: Assign to specific sales users.
    • Option 2: Assign to a sales team.
  • Click Save.

📌 Tip: Adjust the workflow to fit your sales process.

Step 3: Configure Workflow Settings

1) Enrollment Settings

  • Decide whether to enroll existing companies immediately or only new ones.
  • Recommendation: If fewer existing companies match criteria, enroll immediately.

2) Timing & Performance Settings

  • Configure workflow run times (e.g., within working hours).
  • Set review notifications for threshold alerts.

3) Final Review & Activation

  • Review workflow connections (Lists, Emails, Forms, etc.).
  • Check Name, Description, Permissions.
  • Click Turn on Workflow.

1) Add Task Creation Step

  • Click “+” in the workflow.
  • Go to HubSpot → CRM → Create Task.

2) Configure Task Settings

  • Task Name → “Review Account Activity & Assess Outreach”.
  • Type → To-do.
  • Priority → High.
  • Assign to → Specific sales rep.
  • Due Date(Customize as needed).
  • Notes → Add Reo.Dev insights for quick context in the Task Notes:

  • Click Save.

2️⃣ Configure Slack Notification

  • Click “+” in the workflow.
  • Select Slack → Send Slack Notification.
  • Choose User or Channel to notify.
  • Include Company Owner (optional).
